This is the last step. Complete the rental agreement below and send the security deposit, and we will hold the dates we discussed. Your dates are not confirmed until you receive a DATES APPROVED email from our office.

Your group carries its own coverage. The certificate comes with this agreement, and again to the Property Manager when you arrive.

The deposit
Payable to the Tennessee Ministry Network. It comes back to you by check within seven days of your departure, provided there are no damage fees.
You can pay it as part of this form or ask us to invoice you instead. Whichever you choose, the deposit is what holds your dates while we finish the paperwork.
This form is a contract. It covers the minimum guaranteed amount for your group, the payment schedule, and what happens if you cancel. Those terms are summarised below the form, but the agreement itself is what governs your booking. If anything in it is unclear, call us before you submit rather than after.

What happens next
Your agreement and deposit come to our office and we check the dates against the calendar.
You get an email confirming it. That email is the moment your dates are yours.
We send it, then update it fourteen days before you arrive once you give us a final headcount.
Ten days before you arrive. After that, the campus is yours to get ready for.
Submitting this form and paying the deposit starts the process. It does not by itself reserve the campus. Your booking is confirmed when a DATES APPROVED notice arrives from our office, and we would rather say that plainly now than have you make travel plans on an assumption.
If you have not heard from us within a few days, call. Something has gone astray and we would like to know about it.
The terms, in short
A plain summary of what you are agreeing to. It is not a substitute for the agreement itself, and where the two differ, the signed agreement governs.
- $750 security deposit with the signed agreement. Refundable, returned by check within seven days of departure if no damage fees apply.
- Final headcount fourteen days out. Your invoice is updated to match it.
- Full balance ten days out.
- Late balances accrue 1.5% per month until paid in full.
- A $750 cleaning fee applies if the facilities are not left properly cleaned. There is a departure walk-through with the Property Manager.
- Your agreement sets a minimum guaranteed amount for your group. It is fully earned when both parties accept the agreement, and it stays due in full even if fewer people come than you contracted for.
- Cancelling within 60 days of your dates forfeits the deposit.
- Within 30 days, the deposit plus 50% of the minimum guaranteed amount.
- Within 15 days, the deposit plus 100% of the minimum guaranteed amount.
- Cancellation fees do not apply in the case of a tornado, flood, or comparable act of God.
